Before running Pronto Mail, collect the following information from your network administrator:

When you access Pronto Mail for the first time, the Mailbox Settings dialog box appears. You can also access the Mailbox Settings dialog box by starting Pronto Mail and choosing the Mailbox Settings command from the Setup menu. The Mailbox Settings dialog box appears:

To set up Pronto Mail:

  1. Enter your email name in the Host Login field; for example, if an email address is alison@yoyodyne.com, enter alison.
  2. Enter your password in the Password field. The password appears as asterisks. You may want to consider using the Entry Password... command from the Setup menu to protect others from opening the Pronto Mail application.
  3. Enter your domain name or the IP address of the mail server in the Mail Server field; for example, enter oak.yoyodyne.com or 192.168.42.42.
  4. Enter your full name and title in the Name and Title field, or any other optional information you want to appear with your name in the return address of your mail messages. For example, Alison Vera - Systems Analyst. The contents of this field are optional.
  5. If the SMTP server is the same as the mail server, proceed to Step 6; otherwise, enter the domain name or IP address of the SMTP server. For example, yoyodyne.com.
  6. Enter your email address as it relates to the SMTP server domain name; for example, alison@yoyodyne.com.
  7. Click OK to save the information or Cancel to close the dialog box without changing the information.

After specifying Mailbox Settings, you may also want to change Mailbox Preferences or consider setting an entry password for Pronto Mail to protect your access to Pronto Mail. The following sections describe the options.

Setting Mailbox Preferences

Mailbox preferences let you specify if and when Pronto Mail requests new mail from the remote host and when mail is sent to the remote host.

To set mailbox preferences:

  1. Start Pronto Mail and choose the Mailbox Preferences command from the Setup menu. The Mailbox Preferences dialog box appears:

  2. Check or clear the Check Mail on Startup option. When checked, Pronto Mail checks for incoming mail when it starts and at a preset interval. This preference assumes that a connection with the host has been established. If there is no connection and this option is enabled, an error message appears.
  3. Check or clear the Retain Mail on Host option. When checked, Pronto Mail retains copies of messages on the host after updating mail. Otherwise, Pronto Mail removes the host copies from your folder after fetching Incoming messages.
  4. Check or clear the Check for Mail Every nn Minutes option. When checked, Pronto Mail checks for incoming mail at a preset interval. Enter the number of minutes in the field. If the option is enabled and the Minutes field is empty, Pronto Mail checks mail every 10 minutes (the default value).
  5. Check or clear the Send Mail Immediately option. When checked, Pronto Mail sends mail to the host when you issue a Send command from an outgoing folder window. If you do not enable this option, Pronto Mail waits until you issue a Send command from within the Outbox folder

    Note

    Even if you do not check the Send Mail Immediately check box, Pronto Mail sends all queued mail when you check for new mail during a mail session or when you start a new mail session.

Setting an Entry Password

You can set an entry password for Pronto Mail to protect access to your mail from others who have access to your workstation.

To set an entry password:

  1. Start Pronto Mail and choose the Entry Password... command from the Setup menu. The Entry Password dialog box appears.

  2. Check the Use Entry Password check box.
  3. Enter a password in both the New Password and Retype Password fields.
  4. Click OK to create the password or Cancel to quit.

Setting Pronto Mail Preferences

The Preferences dialog box in Pronto Mail lets you change how Pronto Mail looks and works.

To set Pronto Mail preferences:

  1. Start Pronto Mail and choose the Preferences... command from the Setup menu. The Preferences dialog box appears:

  2. Check the Confirm Delete and File Operations check box to have Pronto Mail prompt you for confirmation before performing delete, copy, or move operations.
  3. Check the Maximize Message View Window check box to maximize message View windows upon opening.
  4. Check the Maximize Compose Window check box to maximize message Edit windows upon opening.
  5. Check the Save Desktop on Exit check box to retain the positions of all open windows on the desktop between sessions.
  6. Check the Clear Wastebasket on Exit check box to permanently erase all messages in the Wastebasket folder when you exit Pronto Mail.
  7. Check the Automatically Append New Addresses check box so that if the address of an incoming message does not exist in your address book, Pronto Mail lets you decide if you want to add it.
  8. Check the Beep when New Mail Arrives check box to have Pronto Mail alert you when new mail arrives.
  9. Check the Prompt if Addressee is not in Alias List check box so that if you type the name of an addressee that does not exist as an alias in your address book, Pronto Mail prompts you to verify the name and to add it to the list.
  10. Check the Use Pronto Mail as MAPI Server check box to enable Pronto Mail as a MAPI server, so you can send mail from any mail-enabled application.
  11. Select a Sort Order radio button to sort your messages. If you view your messages by date, Ascending means forward in time, from oldest to newest; Descending means backward in time, from newest to oldest. If you view your messages by name or subject, Ascending means A to Z; Descending is the opposite.
  12. Enter an Indentation String to specify one or more characters that preface each line of text in an original message to which you are replying. The default string is the "greater than" sign (>) followed by a blank space.
  13. Enter the Line Wrap Width value to the maximum number of characters that should appear in each line before word wrap occurs.

Identifying MIME Types

Specify MIME types to associate Windows file types to MIME (Multipurpose Internet Mail Extensions) types or subtypes for handling different types of attachments. For example, you can associate file type GIF with type "image" and sub-type "gif," so that if you have an application that is associated with the GIF extension in Windows, it launches automatically when you double-click an image or GIF attachment.

To specify a MIME type:

  1. Start Pronto Mail and choose the MIME Types... command from the Setup menu. The Setting MIME Types dialog box appears.
  2. Add or modify existing types as instructed by your network administrator.

Pronto Mail recognizes all MIME types and sub-types. If new MIME types are defined, you can add them.

Understanding a MAPI Server

MAPI stands for Messaging Application Programming Interface. MAPI is an application-level set of APIs (application programming interfaces) that let other applications, such as word processors and spreadsheets, interact directly with Pronto Mail to send and receive messages and attachments. Pronto Mail supplies a MAPI DLL library that gives MAPI-compliant applications direct access to Pronto Mail.

Note

Enabling MAPI support within the email product does not by itself enable all of the applications on your workstation so they can interact with mail. Unless you already have all of the necessary files required by each of the applications, MAPI does not provide a benefit.

In Pronto Mail, choose the Preferences... command from the Setup menu to establish Pronto as a MAPI server.
