Parent role on Arrival Day
We welcome parents to campus if they can drop their student off in person. Regardless of the program, arrival days are on Sundays, but check-in times vary. Check-in for 3-week programs is from 2:00 – 4:00 pm. Check-in for 1-week programs (both sessions) is 12:00 – 3:00 pm.
After checking in, parents/families are welcome to accompany their student to their residence hall to help them unpack. Following the end of the check-in period, parents are expected to depart campus to allow students to attend their first residential floor meeting. More detailed information about the orientation events will be available at check-in. Be sure to review the transportation page to learn about arrival day details.
Parent role on Departure Day
Parents may assist students in moving out of the residence halls on the final day of the program. Parents are not permitted in residence halls during any other time outside of arrival and departure days. Be sure to review the transportation page to learn about departure day details.
Symposium for 3-week programs
The institute culminates in a celebration of student work. The symposium runs from 9:00 am to 11:30 am in various locations on campus. The broader community, including families, are encouraged to attend!
Near the end of the program, an email invite will be sent with program-specific location details and information.
Visiting Hours
Family are welcome to visit their students during our summer programs. However, due to their busy schedules and our aim to cultivate a true college experience, we ask that you confine your visits to the following days and times:
- Sundays Noon–3:30pm
Students will check in and out with their PACA so that our staff is aware that a student is off campus with family. We ask that family stay in Northfield to spend time with their student. Any non-immediate family visitors hoping to visit campus must have written permission to see the student by the student’s parent/guardian.
Coordinating Doctor and Counselor Visits
We take the health and safety of our students very seriously. Because Carleton’s Student Health and Counseling office (SHAC) is closed during the summer, PACAs and professional staff members accompany students to local clinics for appointments arranged in consultation with family.
Northfield has a clinic, urgent care, and emergency room in the event a student must seek care off campus. All medical services, prescriptions, and supplies must be paid for by the student. In the event a student needs more specific care, a parent is relied upon to seek a medical professional or counselor, and work with SLAI staff to assist in the coordination of bringing the student to their appointment.
Religious Services & Practices
Students can consult their PACA to arrange transportation to and from religious facilities in Northfield if they would like to attend services or events while attending our programs. Carleton’s chapel is also open to students during the day and is equipped with a Muslim Prayer Room.
Mailing Address for Your Student
Mail including letters and packages that arrive on campus are processed by Mail Services and then distributed by SLAI staff. Internal sorting and distribution may take 1-2 days. Also, your delivery notification will most likely arrive from the shipping company before it is processed.
If you have been alerted that a delivery has been made and more than 3 business days have passed, please alert the SLAI staff for follow up.
Any mail for participants should be addressed:(student’s Name)

Student Health Services and Emergency Care
Students and parents/guardians will fill out a health form prior to arrival, where they may provide detailed health needs of the student.
Because students will be visiting campus during an extended break in the Carleton academic calendar, standard student health services are not available. However, in the instance of severe illness or injury, staff will seek emergency services for your child at Northfield Hospital.
Cell Phones During Class
Students are not permitted to use their cell phones during class for non-academic purposes. This means you should not expect your student to be able to respond to texts, messaging, or answer phone calls during class hours between 9 am – 4 pm with the exception of breaks. Use of cell phones for non-academic purposes during class frequently results in negative interactions between students and SLAI staff. Please help your student maintain positive interactions with staff by not contacting them during class hours.
CampDoc Forms
Carleton SLAI uses the CampDoc electronic record system to collect helpful information about your student, agree to our code of conduct, and sign any releases required for your student’s attendance in our program. Two weeks following your student confirming their spot in our course, you will receive an invitation from CampDoc to set up your account, and complete our online forms. Once you have completed your portions, the forms will route to your student’s email address for them to complete their portion. To ensure this process works correctly, it is important your student include an email address you frequently use during the application process.
The online form can be converted to Spanish. All forms must be completed in advance of the program in order for a student to attend. If forms are not complete, a student may be declined to check-in at the start of the program.
