Please refer to the day of show information below as you are advancing you or your artist’s upcoming performance in The Cave, our student run venue in the basement of Evans Residence Hall.

PARKING / LOAD-IN

When is the earliest we can park? Please arrange an arrival time with the Booking Manager or refer to your contract for load in times.

Where is load-in? 715 Evans Drive, Northfield, Minnesota 55057

Where is parking? Parking is available just up the hill from The Cave in the Evan’s Residence Hall lot, you are welcome to pull in the driveway to The Cave to load in there via the loading dock area

Will we need to relocate after loading in? Yes. Please park in the lot mentioned above.

What is the load-in situation? Ramp / elevator? Ground floor load in– no stairs/elevator involved!

Loaders/unloaders for show? How many? Time constraints? Band/performer(s) do their own load in and out.

How far is the push from van to stage? Not a considerable distance if pulled up to the front door for loading in.

HOSPITALITY

Please see the contract, all Cave performers are paid a flat fee. Light hospitality will be provided there are no buy outs or provided meals. No alcohol will be provided for the band, any beer or seltzers the band brings in must stay in the greenroom area. The Cave is a BYOB space for students, and you are welcome to bring your own alcohol into the Cave, however, please abstain from bringing in hard alcohol as our posted security agents will likely ask you to dispose of any hard alcohol in your possession before entering this building. Hard alcohol is not allowed in The Cave for students or performers.

If you are looking for additional food options beyond what we provide, local restaurant information can be found in the green room which will be paid for on the artists’ own. Our venue staff will busy helping bands through sound checks and greeting other artists and will not pick up food orders on contracted bands’ behalf

Are there private green rooms or shared? Showers? Laundry? Towels? One green room which will be shared between the headliner and opener with showers and towels. This space also contains a fridge, freezer, and private toilet. No laundry facilities available.

Do you provide any hotel discounts or can you help us make a reservation for the band? No; the performance contract provides a flat fee for the performer(s). The artist or agency will need to book hotel accommodations on their own. Northfield has two hotels in close proximity to campus, The Fairfield and Country Inn.

Please confirm comp/guest list allotment. No outside guests are allowed in our venue and space in the shared green room is limited.

Do you have any sections we can reserve for a few VIP guests? No guests or VIP guests allowed, this is a closed and private show for Carleton students only. Please do not promote this show publicly.

MERCHANDISE SALES

Do you provide someone to sell our merch? No, we can provide you with a table and space to sell but Artists will need to staff all sales transactions and merchandise maintenance.

Could you please confirm the merch split if any? Artist receives 100% of merchandise sales.

Can you please provide a venue shipping address for merchandise shipments? Bring merch with you to our venue. We are not responsible for storage, selling, or shipping of band merchandise.

PRODUCTION / STAFFING

Please provide us with a stage plot and input list attached once the performer is contracted.

We will not be traveling with any audio engineers or LD’s, we will need to use your in house people. Our AV student staff are happy to help with sound checks and lighting and sound during the show.

Please provide any venue tech specs/packets you have. Please connect with our booking manager via email prior to your arrival. Booking manager contact information will be sent once we begin advancing the show.

Sound curfew? The venue closes at midnight, sound curfew must end by then and all performers and associated parties should depart from college property no later than midnight.

WiFi for production? Our venue has Wi-Fi, however plan to have tracks downloaded and not rely on Wi-Fi; when the venue capacity increases, Wi-Fi becomes unreliable.

Who is the best DOS contact on your end? This information will be provided via email when advancing the show.

SETTLEMENT

Who will we be settling with on site? Please provide their name/phone number/email. A check will be provided on site unless the band requested direct deposit. Contract(s) and W-9 form must be completed at least 14 days in advance of performance date to be able to get paid the evening of the performance. If the band isn’t paid the night of the show, their check will be mailed to the address provided on the W-9 form submitted or deposited into the account the band indicated on our Direct Deposit form. As a reminder, all non-Minnesota residents are subject to a 2% performance tax, please refer to the Carleton College contract for more information about this.

Please provide a printed tax withholding certificate if applicable. This form will be sent by our business office and/or documented on the check. If you need further settlement documentation, please email accountspayable@carleton.edu.
