Members of chartered student organizations may occasionally need to leave campus for organization business – catering pick up, event and conference travel, etc. Carleton College provides a fleet of vehicles that student organizations may reserve to further their approved club business. The cost of vehicle use is charged to the student organization via their CSA account in Workday. Student organizations are required to use Carleton fleet vehicles when traveling 100 miles or less from campus. For trips over 100 miles from campus, please contact SAO for assistance. Students should not make their own reservations with Enterprise, bus companies, etc.

Enterprise Rental Guidelines

When the Carleton fleet is unavailable or when traveling more than 100 miles, Enterprise Rent-A-Car may be reserved with assistance from the Student Activities Office (SAO). The following guidelines apply to a rental:
  • All drivers must be approved campus drivers;
  • Drivers may be under 21 but it is best if the driver checking out the vehicle at Enterprise is 21 years old or older;
  • Drivers must bring their driver’s license to check out the Enterprise vehicle;
  • Drivers should NOT change the email address on the reservation otherwise SAO will not get the receipts;
  • Trip Leader Forms and Student Travel Waivers must be completed to pick up and drop off Enterprise vehicles.

Travel Forms

Any time a member of a student organization plans to leave campus on behalf of a student organization, the members of the organization must complete a Trip Leader Form specifying the date and time of their trip, where they are going, and who is traveling in the vehicle. Every passenger in the vehicle–including the driver–must complete a Student Travel Waiver before leaving campus.

Special Trips

Some trips are organized for anyone on campus to attend. For those trips, a trip leader is designated but a roster of those leaving campus is built as the Student Travel Waivers are filled out. Additionally, there are certain activities that contain an added level of caution which means additional language is added to the waiver to cover the added danger. These trips require designated waivers found below.
