Services:
- Supports Academic Progress: Ensures student academic records are accurate and up to date, oversees course registration, and provides guidance on academic policies when needed. Reviews academic progress reports and graduation requirements to help students stay on track.
- Listens and Improves Services: By engaging directly with students, the Registrar gathers feedback to improve registration, transcript services, and other academic processes.
- Ensures Data Accuracy and Compliance: Ensures all processes comply with FERPA and other privacy regulations, keeping student records secure while providing access when necessary.
- Curriculum and Scheduling: Collaborates with faculty and committees to manage course scheduling, catalog updates, and curriculum implementation, ensuring courses align with academic policies and program requirements.
- Supports Academic Policy and Standing Decisions: Serving on key committees, the Registrar interprets and applies College policies, helps review academic exceptions, and provides actionable guidance on student progress and grading.
- Provides Strategic Enrollment Insight: Partners with faculty, Institutional Research & Assessment Office and leadership to use enrollment and academic data to plan courses, manage registration trends, and support student success initiatives.
- Leads the Registrar Team: Manages staff in the office, provides training, guidance, and leadership to ensure that academic processes run efficiently and that services meet the College’s strategic direction.
- Maintains Institutional Compliance: Ensures that student information systems, transcripts, and reporting meet accreditation standards, federal regulations, and College policies, collaborating with areas as needed.
- Drives Process Innovation and Improvement: Identifies opportunities to streamline workflows, adopt best practices, and implement new systems/tools to improve the College’s academic operations and student experience.
- Student Records and Academic Support & Liaison: Acts as the liaison for academic foundation, student records, curriculum, and advising in Workday, ensuring students, faculty, and staff can access and use them effectively. They provide guidance, troubleshoot issues, and coordinate with ITS and other offices to maintain system integrity, implement improvements.

- Academic Scheduling: Collaborates with academic departments to create the academic course schedule. Provides training and support to administrative assistants on scheduling processes.
- Academic Course Catalog: Assists with the editing and maintenance of the academic course catalog. Reviews and processes course changes and new course proposals for both the catalog and Workday.
- Curriculum Encoding Assistance: Assists with the development and maintenance of program and course eligibility rules within the Workday system.
- Reserved Seats: Maintains reserved seat allocations.
- Documentation: Develops and maintains documentation and training materials for Workday.
- Academic Records Validation Support: Reviews and compares legacy transcripts with Workday transcripts

- Registration: Aids in the registration process and questions from faculty, students, and advisers.
- Waitlisting: Processes faculty waitlist requests, including registration and communication with students.
- Veterans Affairs Educational Benefits: Updates student enrollment and academic progress for VA educational benefits.
- OCS Transfer credit: Records transfer OCS courses from other institutions on student records.
- Grade Processing: Tracks and resolves issues with missing or extension grades.
- Student Status: Updates student status information (withdrawal, leave of absence, suspension, etc.)
- Academic Records: Processes and analyzes requests, including name and address changes, grade updates, enrollment verifications, overloads, and other academic records.
- Special Student Programs: Coordinates registration, grading, student data for special programs (Summer Liberal Arts Institute, Off Campus Study, etc).
- Pre-matriculation credit: Evaluates and records pre-matriculation credits (AP, IB).
- Placement update: Assists with updates related to placement.

- Transfer Adviser: Co-advise incoming transfer students.
- Degree Completion Consultant: Manage and communicate comprehensive data regarding student graduation status. This includes providing supplementary consultation to students, advisers, and department chair/program coordinator to resolve missing requirements and ensure a correct path to degree completion, coordinating information flow between the Director of Advising and the Academic Standing Committee.
- Transfer Credit Evaluator: Evaluate all transcripts for transfer credit and manage the off-campus study credit evaluation process.
- Graduation and Commencement: Oversee the full graduation process, including generating tracking reports, performing degree conferral, and managing diploma production/distribution and Commencement logistics related to diplomas.
- Academic Standing Committee Liaison: Assist in managing and reviewing student petitions submitted to the Academic Standing Committee.
- Student Worker Supervisor: : Oversees student worker tasks, training, and development.
- Academic Progress Management: Maintain and update the degree audit system (Academic Progress). Process annual updates based on curriculum changes and manage academic override requests for substitutions and waivers for the academic progress report.

- Technical Systems Planning & Project Management: Provides strategic guidance and leadership in planning, designing, and implementing technical solutions for student data and information systems. Manages technology projects from concept to completion to enhance academic and administrative processes.
- Process Improvement & Change Management: Leads process improvement initiatives within the Registrar’s Office, refining workflows, streamlining services, and implementing creative solutions that better serve students, faculty, and staff.
- Data Integrity & Governance: Ensures the accuracy, security, and proper management of student data. Develops data dictionaries and record retention practices that uphold the College’s standards for data governance.

- Communication: Responds to inquiries sent to registrar@carleton.edu, maintains and updates the Registrar’s Office website, and develops clear communications for faculty, students, and staff about academic deadlines, registration processes, and policy updates. Develops and prepares Workday Journeys.
- Independent Study and Directed Research: Reviews and assists with registration of independent studies and directed research courses.
