Where we are and where we’re going, first week of May

Welcome to the weekly blog posts by the project team! Our plan is to post these small updates every week so that you can keep up with what we’re up to and what we’re heading toward in the Gmail and Dropbox transition project.

Project Update

Our first round of Early Adopters for Gmail and Google Calendar have been living in their new email and calendar worlds for two full weeks now. We are learning a lot from their experiences, and thanks to their feedback we’ll be able to talk in more concrete ways with future migration groups. Thank you, Early Adopters!

We have also had our initial meetings with the designated File Management Stewards (Dropbox) and SuperHeros (Gmail and Calendar) for each department, as well as with a few academic and administrative departments as groups. We would love to meet with your department, too! If you would like to set up a meeting, please contact either Julie Anderson or Austin Robinson-Coolidge.

Tip of the Week

Training dates for Google (Gmail and Calendar) are set and added to our events calendar. You’ll find three kinds of training there: Pre-Migration Presentations, Migration Training, and Drop-in Sessions.

  1. Pre-Migration Presentations will help you get acclimated before your move to Google. They’ll help you know what the interface looks like and what to expect from the business versions of Gmail and Google Calendar.
  2. Migration Training is timed for immediately after you move to Gmail and Google Calendar, once you can see and manipulate your own email and appointments in your own account. These will include in-depth tours of each tool plus hands-on time to work with your email and calendar.
  3. Drop-in Sessions are timed for the week after you move to Gmail and Google Calendar and are guided sessions where you can bring your questions, try some of the guided exploration ITS will offer, and learn from other participants. Come for a few minutes or stay for as long as you want.

Our Tip of the Week? Find the sessions you plan to attend and add them to your calendar.

What to Expect in the Next Week

The second group of early adopters will move to Gmail and Google Calendar on May 12th. The staff in SERC and Summer Academic Programs will be included in this second migration.

Also, watch the Carleton Weekly on Monday for information on requesting a new username if you desire one. Until recently, usernames could only be 8 characters long. If this 8-character limit chopped off your last name in ways that you don’t appreciate, this is your opportunity to request that we lengthen your username to match current standards.  The Weekly will provide specifics on how to request this change. Please note: Unless you specifically request a change, your email address will NOT change at all as a result of the move to Gmail.
