Using “Add Guest” in an event
- In Google Calendar, as you are adding an event to your own calendar, click “edit event.”
- Look just above the “Where” field to the left and click “Find a Time”
- Look to the right of the main content to the “Add Guest” options and type the other person’s email address into that box. You will see that person’s busy time appear next to your own busy time and can use this view to find times when you are both free.
Extra tip: You can toggle between Day and Week view of your calendar with the other person’s calendar with the buttons at the upper right-hand corner of the calendar view in this “Find a Time” page.
Subscribe to the other person’s calendar
If you frequently meet with a person, you may want to subscribe to their calendar.
- In Google Calendar, on the left-hand navigation, find “Other Calendars” and put your cursor into the box just below this text.
- Type in the other person’s email address and hit “enter.” You will now be able to toggle the other person’s calendar on and off by clicking the box just to the left of the other person’s name.
Ask the other person to share a calendar with you
If you work closely enough with another person to need more details about what they do and where they are, you may want to share your calendars with each other.
- In Google Calendar, on the left-hand navigation, hover over your calendar’s name and then click the downward arrow that appears to the right of your calendar’s name.
- In the resulting menu, click “Share this calendar.”
- Under “Share with Specific People” type the other person’s name into the box provided.
- Use the drop-down Permissions Settings if you want to select anything other than the default “See all event details” option.
- At the top or bottom of the page, click “Save.”
