Carleton Weekly Post: Email and File Storage Transitions

Greetings from the Email Transition/File Storage Transition Team! The processes of transitioning from Zimbra to Gmail and from Collab to Dropbox are large and complex, and will require regular communication from us to you, as well as some actions on your part. In addition to the emails you’ll receive from us, you are welcome to visit our Web site which will have training materials, timelines, FAQs, and other information that might be useful to you.

The transition to Gmail starts with faculty on June 9 and ends with staff on July 7; students will transition in the middle. Administrative departments will move to Dropbox on a staggered schedule between May and August, with faculty moving over fall term and winter break. To prepare for all of this, each group will receive staged training and consultations prior to migration. In addition, each group will have members that are designated File Management Stewards (for the Dropbox migration) and SuperHeroes (for the Gmail migration). The File Management Stewards will help create new structures for their departments’ files on the new systems, while the SuperHeroes will be peer Gmail experts. These representatives will partner with ITS to create as smooth a transition as possible.
