All-Campus Email introducing the Gmail and Dropbox projects

Greetings from the Email Transition/File Storage Transition Team!  The processes of transitioning from Zimbra to Gmail and from Collab to Dropbox are large and complex, and will require regular communication from us to you, as well as some actions on your part.  This message is intended to give you an introduction to the projects.

First, as we get closer to the migration dates, there are going to be a number of things we need you to know about both projects.  The subject line of every message we send will include the name of the project, what kind of a message it is (Action, Reminder, Info), and then the brief, descriptive subject (e.g. GMAIL INFO: Upcoming Gmail/Google Calendar Training Dates).

Next, we wanted to remind you of the general timelines for both projects.  The transition to Gmail starts with faculty on June 9th and ends with staff on July 7th; students will transition in the middle. Administrative departments will move to Dropbox on a staggered schedule between May and August, with faculty moving over fall term and winter break.

Finally, we are identifying a group of faculty and staff to help manage the details of the transitions.  The File Management Stewards will be working to create new organizational structures for their department’s data in Dropbox, while the SuperHeroes will be helping their departments through the email transition.  We will be sending more information about these two roles, including the people who are filling them, next week.
