This page contains information on “data-driven” Google Groups, which are Groups whose membership is synchronized from other campus systems on an automated basis. These groups require special handling from their owners and managers, described in more detail below. During our transition from our Sympa mailing list system to Google, ITS will be working closely with owners and moderators of these data-driven lists to make sure the transition is smooth.

Here are data-driven lists which will migrate to Google on November 6, 2017.

Structure:

Most Sympa lists contain both manually-added and provisioned members. There is no structure in Google Groups to support this type of mailing list, so we’ve had to do something a little special. For every list in the spreadsheet above, two Google Groups will be created. As an example, consider the list “its-all@lists.carleton.edu”. In Google, this list will be given the email address “its-all@carleton.edu”. We will also create a second Google Group, named “its-all-extras@carleton.edu”. Owners of this mailing list in Sympa will have access to both groups, and members added manually to the “-extras” group will automatically be added to the “its-all@carleton.edu” group accordingly.

This construction is common in cases where a mailing list contains automatically-provisioned members (say, students majoring in philosophy) and manual members (say, philosophy faculty). The important thing to remember as a Group manager is that you will need to edit the “-extras” group if you wish to add members to the automated mailing list.

Migration Details:

ITS will begin creating these Google Groups over the next two weeks. On November 6, the membership of the mailing list in Sympa will be deleted and a forward to the new Google Group will be created in its place. Email sent to the legacy @lists.carleton.edu address will continue to be delivered to the new Google Group until the end of the calendar year, at which time Sympa will be decommissioned.
