• The first Early Adopter group, consisting of 52 faculty, staff, and students, migrated to Gmail on April 14th, and has been providing us with extremely helpful feedback about our communication, training, and process.  Although trying to plan meetings across two calendaring systems has been vexing, for the most part the transition has been smooth and uneventful.  We have updated our process and will be migrating a second Early Adopter group on May 12th to ensure that we are ready for the faculty migration on June 9th…

  • A few weeks ago, Carleton had its annual Employee Recognition Lunch.  To me, that is one of the events that makes Carleton special. It is a unique opportunity to celebrate the broad and varied group of people who are needed in order to provide this wonderful, residential educational experience for our students.  Believe it or not, that event got me thinking about email and files and what it means to be a good communicator in 2016…

  • Greetings from the Email Transition/File Storage Transition Team! The processes of transitioning from Zimbra to Gmail and from Collab to Dropbox are large and complex, and will require regular communication from us to you, as well as some actions on your part. In addition to the emails you’ll receive from us, you are welcome to visit our Web site which will have training materials, timelines, FAQs, and other information that might be useful to you.

    The transition to Gmail starts with faculty on June 9 and ends with staff on July 7; students will transition in the middle. Administrative departments will move to Dropbox on a staggered schedule between May and August, with faculty moving over fall term and winter break. To prepare for all of this, each group will receive staged training and consultations prior to migration. In addition, each group will have members that are designated File Management Stewards (for the Dropbox migration) and SuperHeroes (for the Gmail migration). The File Management Stewards will help create new structures for their departments’ files on the new systems, while the SuperHeroes will be peer Gmail experts. These representatives will partner with ITS to create as smooth a transition as possible.   • Greetings from the Email Transition/File Storage Transition Team!  The processes of transitioning from Zimbra to Gmail and from Collab to Dropbox are large and complex, and will require regular communication from us to you, as well as some actions on your part.  This message is intended to give you an introduction to the projects.

    First, as we get closer to the migration dates, there are going to be a number of things we need you to know about both projects.  The subject line of every message we send will include the name of the project, what kind of a message it is (Action, Reminder, Info), and then the brief, descriptive subject (e.g. GMAIL INFO: Upcoming Gmail/Google Calendar Training Dates).

    Next, we wanted to remind you of the general timelines for both projects.  The transition to Gmail starts with faculty on June 9th and ends with staff on July 7th; students will transition in the middle.     Finally, we are identifying a group of faculty and staff to help manage the details of the transitions.  The File Management Stewards will be working to create new organizational structures for their department’s data in Dropbox, while the SuperHeroes will be helping their departments through the email transition.  We will be sending more information about these two roles, including the people who are filling them, next week.

We are pleased to share that the campus will be moving to Google Apps for Education for email & calendaring and Dropbox for cloud storage. …
