AI Survey Results

Welcome to the 2025-2026 academic year!

I enjoyed seeing many of you during last week’s faculty retreat.

As I mentioned during my remarks, I was hoping to send out the results of the AI survey in this ELT, but we aren’t quite ready yet, so they will be in the 09/29 issue. Thank you to everyone who submitted responses to the AI survey. I look forward to engaging in many conversations about the challenges and possibilities that this evolving feature of our lives poses for us as educators.

Opening Convocation and Special Class Schedule

A reminder that classes today will follow a special schedule of slightly shortened class periods to accommodate opening convocation at 3:00 p.m. in Skinner Memorial Chapel. Opening convocation will be preceded by our traditional academic procession. Faculty should assemble in front of Laird Hall by 2:45 p.m. in academic dress. Workday Reminders: Rosters, Prerequisite Overrides, Waitlist Processing

Exploring Different Rosters

Did you know that there are three different roster views in Workday? While all rosters show student enrollments, additional information is displayed on each roster in different ways:

  • The Carleton Photo Roster allows for a printable class roster that includes student profile pictures.
  • The Carleton Class Roster is a Carleton-designed roster that includes the features most commonly used and requested by faculty, such as preferred name, grading basis, advisers, class level, email, and pronouns.
  • The Course Section Roster is a Workday-delivered roster that can be used primarily for emailing students on your roster.

Granting Prerequisite Overrides in Workday

Faculty can grant prerequisite overrides directly in Workday. If a student doesn’t meet a course’s minimum requirements, have them submit a Request Course Section Prerequisite Override task. Instructors will get a notification (via the bell icon in the upper right), and the request will appear in My Tasks for approval or denial. A few reminders:

  • Approving a request does not enroll the student—they must register themselves.
  • Overrides can be granted even if the course is full; the student will be added to the waitlist (granting approval will not override the capacity for your course).
  • If no instructor is assigned, the student should contact the department for permission.
  • Denials are not communicated to the student by Workday.
  • Students are expected to speak with the instructor before submitting a request.

Waitlist Requests and Processing

Waitlist processing was on pause over the summer break. The Registrar’s Office will resume processing waitlist requests on Monday, 9/15. As a reminder, we are currently in the manual waitlist processing phase. Faculty will need to send waitlist approvals to waitlist@carleton.edu. The Registrar’s Office will manually enroll the students in the course, giving them 48 hours to adjust their schedules for any issues like time conflicts or overloads. New Location: Undergraduate Research and Internship Symposium on Friday, Oct. 17

This year’s Undergraduate Research and Internship Symposium will be held at a new location — the Rec Center — on Friday, October 17, from 4:30 to 5:30 pm. For the past several years the symposium has had two consecutive sessions. Moving to this new location will enable us to return to a single session, which will last for one hour. The last day for students to register for the symposium is Thursday, October 2, and the registration form is available on the symposium website.


Fall Term Fire Drills Start September 22

Security Services will start conducting Carleton’s yearly mandated fire drills in academic buildings starting Monday, September 22. Please familiarize yourself with the assembly areas for the buildings you are frequently in. Drills will take place between 11 a.m. and 12:30 p.m. Please email security@carleton.edu with any questions, or review the Security Services website for the full fire drill schedule.

Welcome Back to Fall Term!

I want to extend a special thank-you to all first-year advisers for the incredible work you’ve done with your Class of 2029 advisees during New Student Week. Your guidance and support for our entering students are truly invaluable.

It was great to see many of you at the Annual Advising Workshop. The Advising Handbook website has the powerpoint presentations with important updates shared by our presenters at the workshop.

Below you will see important dates to remind your advisees of deadlines they should be mindful of as they plan their fall term:

Key Dates and Deadlines During Fall 2025:

  • Friday, September 19: Ten-week Independent Study and Overload Petition Deadline, due 5:00 p.m.
  • Sunday, September 21: First Five-week and Ten-week Course Drop/Add Deadline, due 11:59 p.m.
  • Tuesday, September 30: Sophomore Reception (kickoff for Sophomorphosis)
  • Friday, October 3: First Five-week Course Late Drop and S/CR/NC Deadline, due 5:00 p.m.
  • Thursday, October 9: Sophomorphosis Majors and Minors Fair
  • Monday, October 20: Midterm Break
  • Friday, October 24: Second Five-week Course Drop/Add Deadline, due 5:00 p.m.
  • Monday, October 27: Advising Days Begin (through November 5)
  • Friday, October 31: Ten-week Course Late Drop and S/CR/NC Deadline, due 5:00 p.m.
  • Tuesday, November 4: Priority Registration for Winter Term Begins
  • Friday, November 7: Second Five-week Course Late Drop and S/CR/NC Deadline, due 5:00 p.m.
  • Saturday, November 22: Exams Begin (end on November 24)

Deadlines for Independent Studies, Reading, & Directed Research, and Overloads

Registration Deadlines

Registration deadlines for Independent Studies/Reading/Research (Courses numbered 290/390, 291/391, 292/392), Small Groups Studies (293), and Faculty-Directed Research (294/394) follow the academic calendar, regardless of the number of credits. Forms can be found on the Registrar’s Office website.

  • 10-Week projects (1-6 credits) and First 5-Weeks projects (1-3 credits) that begin on 9/15 must have forms approved (by faculty supervisor and adviser) by Friday, 9/19 at 5:00 p.m.
  • Second 5-Weeks projects (1-3 credits) that begin on 10/17 must have forms approved (by faculty supervisor and adviser) by Friday, 10/24 at 5:00 p.m.
  • The Registrar’s Office will not automatically process 1-3 credit projects as Second 5-Weeks courses if the forms are received after the deadline. Students who miss the deadline must petition the Academic Standing Committee for a late add.

Overloads

Please keep in mind that the overload petition deadline for the Fall 2025 term is Friday, 9/19 at 5:00 p.m. If a student plans on overloading with a Second 5-Weeks course (including independent study/directed research projects), they must petition by this date. If a student misses this deadline, they will need to submit a petition for exception to the Academic Standing Committee.


Important Update About Moodle Advising Pages

The Moodle advising pages are no longer being updated. Workday is now our system of record for advising. The Adviser Dashboard in Workday includes all the information previously available on the Moodle advising pages, along with similar—and more advanced—functionalities than the Hub. Additionally, our Advising Handbook has many important resources for advisers.

If you would like a refresher on how to use the advising tools in Workday, please refer to the Workday lesson on advising.

For those who previously used the scheduler in Moodle to set up advising appointments, we encourage you to use Google Calendar Appointment Scheduling, Calendly, or other similar scheduling tools going forward.


Academic Support Resources

The ASC, MSSC, and QRC offer a variety of academic support resources for your students. Consider including this handout in your syllabus or on your Moodle page. Share with your students the Fall term calendar.

The ASC is offering an Accountability Group for compsing seniors this fall. Melanie Cashin and Kristen Vogel also encourage early referrals of students who would benefit from comps assistance or more basic writing support. The QRC provides help with programming, statistics, and data viz for compsing seniors. For help with specific programs or programming languages, students should check the tutoring calendar on the QRC website.

If your student is unsure about which resource to use, the QRC or the Math/Stats Skills Center, refer them to this Quantitative Support Flowchart.


Take a Faculty or Staff Academic Adviser to Lunch

Take a Faculty Member or Staff Academic Adviser to Lunch is a privilege linked to faculty and staff academic advisers’ OneCards, redeemable in both Carleton dining halls during the lunch period Monday–Friday, during the same time period that student meal plans are active. Eligible faculty and staff academic advisers have three meals per term to use when dining with a student for mentoring purposes.

Faculty or Staff Advisor: Present your OneCard and inform the cashier that you want to use one of your “Take A Faculty Member to Lunch” meals. The student joining you is expected to pay for their own lunch.

Grants and Fellowships

Bush Foundation Fellowships for Emerging Leaders

The Bush Foundation is accepting applications through October 7 for its self-designed leadership program. Bush Fellows receive time and resources to enact their plans to grow their capacity to lead for up to two years. Successful applicants will have a vision to create equitable, large-scale change and know how they are uniquely positioned to lead. The program is highly competitive and cannot be used to create, expand, or complete a project or to fund a business. To learn more about this opportunity, contact the Grants Office.


SMIF Grants for Economic Development, Entrepreneurship Projects

Economic Development Grants from the Southern Minnesota Initiative Foundation (SMIF) support initiatives which enable communities to create more prosperous local economies through economic development and entrepreneurship. Carleton faculty and staff may know of community partners whose work would fit well with this program. In this grant round, SMIF will especially consider proposals to anchor economic development efforts that may be experiencing sudden funding loss or operational shocks due to changes in the external economic landscape. As such, existing work is eligible for funding — in addition to new proposals. Funds cannot be used for research projects or internships. Workshops

Sustainability Across the Curriculum at Carleton

This two-part series offers faculty the chance to explore the value of teaching sustainability and develop new course activities or syllabus updates.

  • Part 1 – Virtual Preview: October 14, 3:30 – 5:00 p.m.
    • This 90-minute virtual session is an opportunity to explore best practices in sustainability education, learn how these concepts can connect to your teaching, and get a preview of the full-day workshop in December.
  • Part 2 – Full-Day Workshop: December 10, 9:00 a.m. – 5:00 p.m.
    • In this full-day workshop on campus, faculty will explore the benefits of using sustainability as an interdisciplinary and place-based lens in their teaching. Facilitated by Lindsey Lyons, Director of Sustainability Learning at Dickinson College, this session will provide faculty with tools, approaches, and case study examples. Participating faculty will be eligible for a $2000 stipend upon developing and sharing a new teaching activity or syllabus revision.
