During the upcoming winter break, ITS will be replacing existing Xerox printers with new HP printers. This is part of our ongoing effort to enhance the quality and efficiency of our printing services as well as consolidating to a single printing vendor.

Who will be affected by this?
Departments with stand-alone Xerox printers. 

This will not affect those who have Canon multi-function devices (MFD) that print, copy, and scan.

Why are we doing this?

The majority of our printers are nearing the end of their operational lifespan. This has led to a range of issues, including breakdowns, increased maintenance costs, and user frustration. To explore this, ITS staff did an analysis of campus printers, including printing locations, types of printers, and average pages printed.

The analysis showed that consolidating to one print services vendor would enable us to standardize our printer models and, consequently, adopt universal print drivers, making it easier to operate our printers seamlessly. The support for repairs will be improved with this vendor, as they already support our Canon multi-function devices. Starting next summer, we will be replacing Canon MFDs with new models. 

Here are some key details regarding the printer replacement process:

The replacement of Xerox printers with HP printers is scheduled to take place during December to minimize disruption to your term activities. We aim to have all new HP printers fully operational before the start of Winter Term 2024.

ITS staff will be offering training sessions to help you become familiar with the new HP printers and their features. We will also be available during the transition period to provide assistance and answer any questions you may have. For those who aren’t on campus in December, feel free to reach out to the Helpdesk for assistance when you return.

What to Expect:

You can look forward to improved print quality, faster printing, and a more user-friendly experience. The new devices use universal print drivers similar to the ones being used for the Canon MFDs. 

ITS staff will work with our vendor to ensure all data and configurations are transferred from current Xerox printers to the new HP printers.
