Final Steps with Google and Dropbox

We are wrapping up the end of the Gmail migration and continuing to make progress on the Collab to Cloud project, but there are still a number of things in transition. We’re including a list of all services that are moving, locations, and the time frames for those moves.  Many are underway now, more will be completed by the end of December, and some will continue throughout this academic year.

ANNOUNCING NEW AND CHANGING SERVICES

Google Team Drives

  • Google has created a new type of storage in Google Drive to better handle files that shouldn’t be owned by an individual, such as work a student worker does for a department, or research a student and faculty member are working on together.  Files placed into a Team Drive will persist through faculty, staff, and student account changes.  Learn more about Team Drives here.
  • Team Drives are available as of September 5th.

WebPub Folders

  • Final location(s) will depend on content and usage.  ITS is working to develop a comprehensive migration plan; further updates will be sent to affected people during Fall Term.
  • Personal WebPub folders will continue to work until June 1, 2018.

Courses Drive: Auto-provisioned Course Folders

  • Course folders will still be created in on-campus file storage, rather than migrating to the cloud, but will be transitioning to an opt-in model for Winter Term 2018.  This means that instructors who wish to have Course folders for Winter Term and beyond will request them using a special web form. Instructions will be distributed by Midterm Break of Fall Term.
  • Transition happening for Winter Term.

Course Mailing Lists

  • Course Mailing Lists will be migrating to Google Groups and will be transitioning to an opt-in model for Winter Term 2018. This means that instructors who wish to have Course Mailing Lists for Winter Term and beyond will request them using a special web form. Instructions will be distributed by Midterm Break of Fall Term.
  • Transition happening for Winter Term.

Mailing Lists

  • Current mailing lists (in the “Sympa” system) will continue to work, but no new lists will be created in Sympa as of August 15, 2017.  Instead, people should now create their own lists in Google Groups using these directions. In addition, the “listname@lists.carleton.edu” address construction will go away; new lists will have an address like “listname.group@carleton.edu” for user-created lists and “listname@carleton.edu” for ITS-created lists.  
  • Original “listname@lists.carleton.edu” addresses for lists that have not been migrated will work and archives will be available until 6/30/18. ITS will work with list owners to transition Sympa lists to Google Groups during Fall Term 2017.   

REMINDERS and UPDATES

These transitions are currently underway and will be completed no later than December 31st:

  • Collab:Department Folders
    • Moving throughout Fall term.
    • Move to Dropbox, Google Drive, and/or Onbase. Decisions about location will be made by relevant file management stewards in consultation with ITS.
  • Collab:Committees
    • Carleton governance committees will be moving during Fall Term 2017. Additional communication will come from Stephanie Huston and Austin Robinson-Coolidge to committee chairs.  Non-governance committees with files currently on Collab will be contacted individually.
    • Move to Dropbox or Google Drive.
  • Collab:Projects
    • Move to Google Drive or Dropbox, depending on project manager preference.  Staff and faculty who are responsible for the contents of a folder in the Collab:Projects directory should review and move those files to Dropbox or Google Drive, as needed. 
  • Home Drive
    • Move to Google Drive or Dropbox, depending on personal preference. Individuals are responsible for moving their own content. Contact the Helpdesk for assistance if needed.
