The migration from Collab to cloud-based storage is going well, with six departments mostly or completely migrated, more than 200 individual Dropbox users, and a large number of academic and administrative departments with scheduled migration dates.
As the number of people and departments with Dropbox accounts has increased, we have reached the point of “critical mass” where the desire to share data with others at the college is being hindered by the fact that most faculty and staff don’t yet have their accounts. Therefore, we will be sending all faculty and staff an invitation to create their Dropbox accounts on Monday, March 13 and we’ll provide detailed instructions before that date. We are working toward the goal of having all Academic departments transitioned off of Collab by June 30, 2017 and all Administrative departments transitioned by September 1, 2017. All students will receive their Dropbox accounts by September 1.
We are offering a number of training classes on both Google Drive and Dropbox throughout February, and more will be scheduled. You can see the current list of training times on the RECS site. Meanwhile, members of the ITS Process Team are working with the File Management Stewards to develop department-specific plans for the migration, including scheduling training as necessary and helping what kinds of information should be stored where. ITS is working with various campus committees to determine how and when the Committees and Projects folders on Collab will transition, how to provide the functionality of the WebPub directories in a cloud-based environment, and what the right next steps are for the Courses volume. As we determine the replacements for these services, we will share the transition plan with File Management Stewards and on the RECS project website.
