Carleton facilities are available for rental only during non‑academic times of the year, i.e. Winter and Spring Breaks and the summer months. All usage is subject to availability. Facilities may be rented for events such as meetings, celebrations, receptions, and performances.

Policies
Bon Appétit Management Company (Carleton’s food service provider) is a caterer licensed to serve alcohol. They can cater both food and alcoholic beverages for an event. If Bon Appétit is hired to provide food at an event and alcoholic beverages will be served at the event, Bon Appétit must provide the alcoholic beverages.
If Bon Appétit is not hired to provide food at an event, the event planner must use a caterer licensed to serve alcohol in the state of Minnesota and provide proof of the caterer’s dram shop liability insurance. Alcoholic beverages must be confined to the reception room. There are no exceptions to this rule.
Reservation Policies
The following steps are required if you and your group would like to use Carleton space(s):
- Register your event with Carleton College Conference and Event Services Office.
- Provide proof of insurance for your group, listing Carleton College, its trustees, officers, faculty, students, employees, and/or agents listed as named insured on the certificate.
- Submit a completed Facilities Use Agreement.
The following items and actions are not allowed in, on, or around Carleton fields and outdoor spaces:
- Alcoholic Beverages
- Weapons
- Smoking
- Fireworks or explosives
- Motorized vehicles
- Bicycles (Unless in an area specifically designated for bicycles)
- Entering or making use of neighboring Campus buildings and structures
- Connecting to Campus utilities
- Open flames (Apart from those contained within the designated Fire Pit areas)
- Unleashed pets
- Littering
The College reserves the right to revoke any and all permission at any time, if a visitors conduct is deemed unlawful, destructive or prevents others from enjoying themselves. The individual violator and/or entire group may be asked to leave by Campus Security and/or the Northfield Police.
Protection, beyond College insurance policies (not optional)
- The College requires evidence that buses and vans contracted for transportation are insured. Please have the vendor e-mail a Certificate of Insurance listing Carleton College as additional insured to the Risk Manager.
- The State of MN requires every motor vehicle which is operated on the public roads, streets and highways in Minnesota must be covered by proper no-fault and liability insurance.
- Carleton College requires general liability insurance for all approved “third parties” to use College facilities for specific events. If the ”third party” is unable to obtain general liability insurance on their own, they can purchase coverage through the University Risk Management and Insurance Association’s TULIP Program (Tenants’ and Users’ Liability Insurance Policy, also known as “Events Coverage”).
