1. Thanking an interviewer after an interview:

Sending a note to your interviewer immediately after your interview helps you stand out and maintain a relationship with the interviewer after the interview. If you didn’t receive any contact information from them, consider following up with your recruiter and finding out how best to contact and thank your interviewers!

I really enjoyed meeting you during my interview for _____________ at _____________ on [date]. Our conversation on [1-2 specifics from the interview that stood out to you] made me very excited about [joining your team / working at xx company, etc.].

This opportunity certainly is one I feel like I could succeed in! I’m looking forward to receiving any updates about the rest of the process, but in the meantime, please don’t hesitate to contact me if you have any questions or concerns.

2. Following up on an application (without another offer)

Sometimes, recruiters get busy, or complications arise, and you don’t hear back from them as quickly as you’d like. In such a case, wait at least one week and then it is appropriate to send a follow-up email to check in on the status of the hiring process.

I hope you’re doing well! I’m writing to check in on the status of my application for the _____________ position at _____________. I remain very enthusiastic about the position and working with the team this summer.

If there is any additional information you need from me, please let me know. Thank you very much for your time and consideration, and I look forward to speaking with you soon.

3. Following up on an application (with another offer)

Be transparent with your employer and let them know of any other deadlines/commitments you may have. You don’t want to miss out on a job opportunity just because the employer didn’t have the details about your situation.

I’m writing to give you a quick update about my application. I’m currently in the process of interviewing for a _____________ role at your company. The interview process has been excellent so far, and I’ve had a great time talking to you and the rest of the team.

I was recently offered a position at another company, and have a deadline to respond to the offer by _____________.

[Provide some reasons for why you want to work for their company. If it’s your top choice, then feel free to mention it] Do you think we can talk briefly about my application and when I can expect to hear from the hiring team? 4. Withdrawing an application

Thank you for considering my application and [if you’ve interviewed] taking the time to interview me. While the position at _____________ is an exciting one, [general reason you decided to go with another offer, eg. I’ve been offered a position at XX and plan to accept it / your organization isn’t the best fit for me the moment, given my current goals and learning objectives, etc.]

Therefore, I wish to withdraw my application.
