Zoom AI Companion

Beginning on April 17, 2025, Carleton enables the Zoom AI Companion for all users.  Zoom AI Companion is an AI-powered assistant that integrates with your Zoom meetings to offer features like 

  • Transcript:  searchable and downloadable in real-time 
  • Summaries:  queryable real-time in-meeting summaries, also emailed to meeting host, stored in web-based Zoom application for 30 days
  • Catch-up on meetings in progress, with option to search for your name

By default, the AI companion is turned off for the individual user at Carleton College. To enable AI features, like Transcript, Summaries, or catching up on what has happened in a meeting you joined later, log on to Carleton’s Zoom application, choosing Sign In >  Settings > AI Companion and choose the settings that work for you. For Hosts:

In your Carleton Zoom application account Settings (Choosing Sign In >  Settings > AI Companion ), you can manage your AI Companion settings.  Add features you find useful, e.g.

  • Allow users to ask AI Companion questions about the meeting: this allows anyone in the meeting to ask questions about the content of the meeting.
  • Automatically allow access when the meeting starts: this allows for meeting transcripts to start automatically – if you choose not to use this option, you will be prompted at the beginning of a meeting to start the AI Companion
  • Meeting summary with AI Companion: this generates a meeting summary, and you can choose who receives this summary as an email

To remove AI Companion from your meetings entirely, users should toggle off all available features.  Please note that this only applies to meetings you host.  

To find the Transcripts, you also need to be in your Carleton Zoom application account, navigate to Recordings and Transcripts (Sign In > Settings > Recordings and Transcripts) and find the Transcript tab. Here you can download the full transcript of a session. To find summaries, navigate to Summaries (Sign In > Settings > Summaries) – you share summaries with individuals.

For Participants in a Zoom meeting with AI Companion enabled:

When your Zoom meeting host has the AI Companion feature enabled, you will get a notification that the AI Companion is turned on.  If this makes you uncomfortable, please speak up – it is easy for the host to turn off this feature for an individual meeting.

Data Security

Zoom maintains a high level of security, privacy, and compliance with all their products and services through their encryption process, and combined with Carleton’s authentication process, this gives the College a high level of confidence in meeting security and data privacy.

And, finally, when you are not in a Zoom meeting, you still have access to some AI features in your Zoom applications, for example, suggestions for ice breakers.
