Using Folders

Pronto Mail supplies system folders for the Inbox, Outbox, Sent Log, Draft, and Wastebasket. The Inbox receives incoming messages, the Outbox contains messages waiting to be sent, the Sent Log contains sent messages, the Draft folder contains unfinished messages, and the Wastebasket contains deleted messages.

You can create folders or subfolders, as needed. Folder names can contain up to 34 characters using any valid characters in Windows 3.x file names. Spaces are not permitted in folder names.

Note

You cannot rename folders; instead, create a new folder, move the contents, and delete the old folder.

You can access folders by selecting either the Move or Copy button on the toolbar or by choosing the Folders... command in the File menu.

Opening the Folders Window

The Folders window lists all folders.

Use the Folders window to open folders, create folders and subfolders, move or copy messages from one folder to another, and delete folders. When active, the Folders window remains on top of all other windows.

Note

If you frequently use folders, you may find it convenient to always leave the Folders window active.

To open the Folders window, choose the Folders... command from the File menu, or click the Folders button on the toolbar. The Folders window appears automatically when you drag a message.

Creating Folders or Subfolders

You can create a virtually unlimited number of folders (and subfolders) for organizing your messages.

To create a folder:

  1. Double-click the New Folder icon in the Folders window. The New Folder dialog box appears.
  2. Enter the folder name in the Folder Name field.
  3. To create a subfolder, select the top-level folder name, which automatically checks the Subfolder Of check box. By default, Pronto Mail creates folders in the top level.
  4. Enter the name of the folder in the Folder Name field.
  5. Click the OK button to create the folder, or click Cancel to close the dialog box without creating the folder.

Sorting Message Headers

You can sort the messages in the active folder window by date, sender, or subject. You can sort dates in ascending or descending order by changing the setting. Change the setting with the Preferences... command in the Setup menu.

To sort messages in the active folder:

  1. Select the folder you want to sort.
  2. Click the header bar in the view window to sort by Sender, Date, or Subject; or use the View menu to choose one of the following sort options:

Filtering Messages

You can choose the types of messages that appear in a folder window. For example, if you only wanted to see messages sent today, you could limit the folder window so that only those messages appear. All other messages would be held in the folder, but not shown.

This feature is useful when you want to locate a particular message or when you want to display only messages that fit your criteria. You can filter the messages by receipt date, sender, recipient, and text in either the subject or message body.

You can apply a different filter to each folder that remains in effect between uses of the folder. However, you need to re-apply the filter each time you open a folder. The current setting is indicated with a check to its left.

To filter messages:

  1. Open the folder whose contents you want to filter.
  2. Choose the Show Some Messages command from the View menu. The Show Some Messages dialog box appears.

  3. To select messages received during a specific time period, enter the beginning and ending dates in the Date range and Until fields.
  4. To select messages from a particular person, enter the name in the From field.
  5. To select messages sent to a particular person, enter the name in the To field.
  6. To select messages containing a specific subject, enter the topic in the Subject field.
  7. To select messages containing a specific string in the message body, enter the phrase in the Message body field.
  8. To specify that the filter is case-sensitive, check the Case Sensitive check box. If any case is acceptable, clear the Case Sensitive check box.
  9. Click the OK button to enable the filter, or click Cancel to close the dialog box without creating a new filter.

To eliminate filters, choose Show All Messages from the View menu.

Importing Folders

Importing folders can be useful when you want to add folders from another mailer or from UNIX.

To import a folder:

  1. Choose the Import Folder command from the File menu. The Import Folder dialog box appears.

  2. If you are importing from another mailer, enter the extension for the mailbox folder name in the File name field (the default is the .fld extension for UNIX folders).

    If you want to browse the network for the location of the folder, click the Network button. For example, Windows 95 presents the following dialog box, but each network may present its own version of this dialog box:

    Follow the documentation supplied with your networking software. For this example, choose a drive letter from the Drive drop-down list, a Path from the Path drop-down list, and click OK to map the path to the drive, or Cancel to close the dialog box.

  3. Once you establish the location of the folders to import, click OK to import the selected file, or Cancel to close the dialog box. The Import Folder popup appears, listing existing folders:

    You can import any existing custom folder or subfolder, to the Inbox or Sent Log system folders, or to a new folder by clicking the New Folder name/icon. However, you cannot import to the Inbox, Draft, or other system folders.

  4. Select the desired folder and click Import to import the folder to Pronto Mail.

    If the folder is not empty or new, Pronto Mail asks if you want to append or overwrite. If you append, Pronto Mail adds messages from the imported folder to the selected folder. If you overwrite, Pronto Mail replaces all messages in the selected folder.

    If you are importing to a new folder, the New Folder dialog box appears.

Exporting Folders

Exporting folders is useful when you want to transfer mail to another Windows mailer or to UNIX.

To export a folder:

  1. Choose the Export Folder command from the File menu.

    The Export Folder dialog box appears.

  2. Double-click the folder you want to export or click a folder name and click Export.

    The Export Folder dialog box appears:

  3. Enter the name of the new file to contain the folder you want to export in the File Name field.
  4. Click OK to export the selected file, or Cancel to close the dialog box.

Deleting a Folder

Delete folders with care, as the Wastebasket does not store them after deletion.

To delete a folder:

  1. Open the Folders window.
  2. Select the folder or subfolder you want to delete.
  3. Click the Delete button in the folders window.

Pronto Mail asks you to confirm the move operation (unless you clear the Confirm Delete and File Operations check box in the Preferences dialog box). See "Configuring Pronto Mail" on page 267.
