Sending and Receiving Mail

If Pronto Mail has not been configured, refer to "Setting Pronto Mail Options" on page 266 to prepare Pronto Mail to receive and send mail.

Start Pronto Mail from the Cisco Suite 100 program group. In Windows 95, this group is on the Start menu under Programs; choose the Pronto Mail command from the list of applications. In Windows 3.1 and 3.11, this group is in the Program Manager; double-click the Pronto Mail icon in the program group.

Exit Pronto Mail from the File menu in the application.

To send mail:

  1. Click the Compose button on the toolbar or select the Compose Message command from the Mail menu. The Compose dialog box appears.

    While entering information in the To, Subject, Cc, and Bcc fields, you can use the Tab and Arrow keys to move between fields. Once you enter the body of the message, use the mouse to move between the other fields.

  2. Enter the email address or alias of the recipient in the To field. You can use an alias if you previously created an entry in an address book. See "Using an Address Book" on page 45.

    You can test Pronto Mail by entering your own email address. You can send your message to more than one person by separating each address with a space.

  3. Enter the subject of the message in the Subject field.
  4. Enter an optional carbon copy email address or alias in the Cc field. Each recipient receives a copy of your message and can view the email address of all other recipients.
  5. Enter an optional blind carbon copy email address or alias in the Bcc field. Each recipient receives a copy of your message but their email address does not appear to the other recipients.
  6. Fill in the message body by performing one or more of the following actions:
  7. Edit the text as desired by using menu commands or shortcut keys. Pronto Mail accepts standard Windows keystrokes for cursor navigation.
  8. Choose the Spelling... command from the Edit menu or click the Spell Check button on the toolbar.

  9. Complete the message by doing one of the following:

Checking for Incoming Messages

While in a Pronto Mail session, you can check to see if new messages have arrived.

To check for incoming messages, do one of the following:

Reading Messages

Messages you receive appear in the Inbox with a yellow unopened envelope icon. Click the message header to read its contents. You can drag the dividing line between the header and body text panes up or down to provide more room for reading.

To view the text of a message, do one of the following:

If you examine a message in view mode, press CTRL+F4 to return to viewing the headers in the folder window.

Filing Messages

As incoming mail collects in your Inbox, it becomes difficult to differentiate important messages from others. To organize your messages for further examination, store them in folders or delete them. A folder holds messages and may also contain other folders, called subfolders.

The easiest way to file one or more messages in a folder is to click the message header, or headers, and drag them so that the cursor turns to a letter icon. As you move the messages, the Folders window pops open and you can place the messages in a new or existing folder.

You can also copy messages using the Copy Message button as explained in the next section.

Note

You cannot move or copy a message into a system folder other than the Wastebasket.

Moving a Message to a Folder

To move one or more messages to a folder, select the desired messages, and do one of the following:

In each case, Pronto Mail asks you to confirm the move operation (unless you clear the Confirm Delete and File Operations check box in the Preferences dialog box). See "Configuring Pronto Mail" on page 267.

Copying a Message to a Folder

To copy one or more messages to a folder, select the desired messages, and do one of the following:

Replying to Messages

You can reply to any message you receive, whether it is in the Inbox folder or has been moved to another folder.

To reply to a message:

  1. Select one or more message headers.
  2. Click the Reply or Reply All button on the main activity window toolbar.
  3. Complete the message header as desired.
  4. To include the original message in your message, click the Original button on the Compose dialog box.

    If you prefer each line in the original message to be prefaced with a leading character, such as ">," set the Indentation String character with the Preferences command in the Setup menu.

Forwarding Messages

To forward a message:

  1. Select the header of the message you want to forward, or display the message in view mode.
  2. Click the Forward button on the toolbar or choose the Forward command from the Mail menu.

    The Forward window appears. This window has the same fields as the Compose window except the Original button, which is unavailable during use of Forward.

    The subject of the original message appears in the Subject: field, preceded by Fw: (forward).

    The original message appears in the message body preceded by:

  3. Complete the forward as desired. You may:

Editing Messages

This section describes how to edit an existing message, and other activities performed while editing, such as finding and replacing text and spell checking.

To edit a message you have received:

  1. Open the folder in which the message is filed.
  2. Select the header of the message you want to edit.
  3. Click the Compose button. An alternative is to click the Forward button so that the contents of the message are automatically placed in the new message.
  4. If you are replying to a previous message, click the Original button to insert the contents of the previous message in the current message. Edit as desired.
  5. Add or change the addressing information if needed. Position the cursor with the mouse to change these fields.
  6. Send the message.

Finding Text in a Message

You can find a text string in the body of the active message or a message selected in the active folder window while viewing or editing a message.

To find text:

  1. Choose Find from the Edit menu or press the Find button on the toolbar.

    The Find dialog box appears.

  2. Enter the text you want to find in the Search for field.
  3. If desired, check the Case Sensitive option box to distinguish between upper- and lowercase letters in the text.
  4. Click OK to start the search or Cancel to close the dialog box without starting a search or changing previously specified search text.

    Pronto Mail highlights the first occurrence of the selected text in the body of the message.

  5. To find additional occurrences of the text, do one of the following:

Replacing Text in a Message

You can replace a text string in the body of the active message or a message selected in the active folder window while editing an outgoing message.

To replace text:

  1. Choose Replace from the Edit menu. The Replace dialog box appears:

    Enter the text you want to replace in the Search for field. Enter the replacement text string in the Replace with field. Click OK to begin replacing text or Cancel to close the dialog box. In the Options group, you may check any of the following boxes:

Checking Spelling in a Mail Message

Use the Spelling command to check the contents of your messages for spelling errors. The spell checking facility suggests corrections and lets you add new words to your custom dictionary.

Note

Spell checking is only available for outgoing messages. Pronto Mail does not permit spell checking of incoming messages.

To check spelling:

  1. Choose Spelling from the Edit menu or click the Check Spelling button on the toolbar.

    The Spell Checker dialog box appears.

    If the word is misspelled or unknown, it appears in the Correction For field.

  2. The suggested replacement word appears in the Replace With field. You may optionally enter text or edit the text in the Replace With field.
  3. The context of the word appears in the window at the bottom of the dialog box.
  4. You can then click one of the following:
  5. (Optional) Click the Add to dictionary button to add the text to your custom dictionary.
  6. Click Cancel to close the dialog box.

Deleting a Mail Message

To delete a message from any folder:

  1. Select one or more messages you want to delete.
  2. Do any one of the following:

Pronto Mail asks you to confirm the move operation (unless you clear the Confirm Delete and File Operations check box in the Preferences dialog box). See "Configuring Pronto Mail" on page 267.

Any messages you delete are stored in the Wastebasket folder and accumulate there between Pronto Mail sessions. If you want messages in the Wastebasket deleted when you exit Pronto Mail, choose the Preferences command from the Setup menu and check the Clear Wastebasket on Exit check box.

Note

If Pronto Mail is set to retain deleted messages in the Wastebasket folder, you may want to delete unneeded messages occasionally to reduce the amount of disk space consumed by this folder. To permanently delete unneeded Wastebasket messages, choose the Wastebasket option from the File menu, select the messages to be deleted, and delete using the previously described methods.

Printing a Mail Message

You can print a message from any folder.

Before attempting to print, you may want to check that the printer setup is correct. If it is correct:

  1. Select one or more messages you want to print.
  2. Choose the Print command from the File menu, or click the Print button on the toolbar.

Changing the Printer Setup

Choose the Printer Setup... command from the File menu. The Print Setup dialog box appears.

  1. Change the Printer, Orientation, or Paper fields as required.
  2. Click OK to exit and save your changes or Cancel to exit and abandon your changes.

Saving a Message to a File

To save a message to a text file:

  1. Select the message header.
  2. Choose Save as Text from the Edit menu.

    The Save Text As dialog box appears.

  3. Type a path and name for the file you want to save, or choose the name of an existing file from the scrolling list to replace that file with the current text message.
  4. Click OK to save with the selected path and file name, or Cancel to abort the save operation.
