A Sample Cover Letter

This cover letter goes with Alby Donesoon's functional résumé. She is a biology major applying for a job fundraising for a non-profit. It is worthy to note that she has already made an initial contact with the organization, plus she has been referred by a Carleton alum. (If you want to see how alums can help do this, click here!)

If you want to see a cover letter to an employer where no previous contact has been made, click to see another example.

Read the comments in italics for notes about the sample letter.

Ms. Jane Graham, Director
Center for Women And Children
333 Winstead Street
Champaign, IL 61820

Dear Ms. Graham:

Thank you for speaking with me on the phone about the internship position openings at the Center for Women And Children. Your need for interns to help raise money for the Center sounds like an incredible opportunity to learn more about the fundraising field and benefit a wonderful non-profit organization. Kate Holland, a Carleton graduate, first introduced me to the Center. She worked for the Center two years ago as Program Director before moving to Washington, D.C. to work for NOW. Her description of the work at the Center made it sound like an interesting organization with which to be involved.

(Note the early focus on the employer; Alby mentions herself very little in the opening paragraph but instead choses to talk about the Center. She also mentions an alum, whom the director of the Center would probably know. This first paragraph sets Alby's knowledge and initial interest.)

My experience fundraising for Carleton will prepare me well for work at the Center for Women and Children. I have enjoyed making phone calls as well as organizing and helping to coordinate the fundraising effort. My research and lab work as a biology major has helped me become organized and methodical, but has also given me the ability to problem-solve and come up with new solutions to problems. As Co-Chair of the Ebony Dance group at Carleton, I have gained valuable experience managing groups and working with people. I am a dedicated hard worker and I feel I can make a valuable contribution to your organization. The possibility of interning at the Center for Women and Children and applying the knowledge I have learned at Carleton is an excited prospect for me.

(Note how Alby has tailored her letter to de-emphasize her biology work. Even though she mentions it, she mentions it as an arena in which she has gained skills that would transfer to fundraising work. She has highlighted some of her interests in the above paragraph, but has also told the employer how she could benefit the organization.)

I will call again during the week of February 8 after you have had a chance to review my résumé. Should you need to contact me, I can be reached at the address above, or at (507) 646-4000, or by e-mail at donesooa@carleton.edu. If you would like to arrange a meeting, I would be able to visit Champaign at a mutually agreeable time between now and May. Thank you again. I look forward to talking with you.

(Alby ends her letter with contact information, and mentions the action she will take right at the beginning. Her confidence in the last sentence is good and she is appropriately appreciative.)

Sincerely, (or Yours truly,)

(handwritten signature)

Alby Donesoon
